How to split costs on a group trip

One person books the lodging, another pays for gas, a third buys the snacks. Here is how to even it all out without an argument.

Agree on the rules before you go

Most money fights on trips come from surprise, not from the amounts. Before anyone books anything, agree on three things:

Let people pay for different things, then even it out

Instead of everyone paying their share of every bill, let whoever is nearby pay, record it, and work out the balances later. Here is a weekend for three people with $1,200 of shared costs:

PersonPaidFair shareBalance
Alex (lodging)$900.00$400.00is owed $500.00
Sam (car and gas)$240.00$400.00owes $160.00
Jo (snacks)$60.00$400.00owes $340.00
Total$1,200.00$1,200.00$0.00

The balances always add up to zero. To settle, only two payments are needed: Jo pays Alex $340 and Sam pays Alex $160. Alex receives $500, which is exactly what Alex is owed. You do not need a payment for every bill.

Handle the uneven costs separately

A group dinner where some people drank and some did not, or an activity only part of the group joined, should not be split evenly. Split those by who took part or by item, and keep the rest even. Mixing the two methods in one trip is fine as long as every cost is recorded in one place.

Keep a record as you go

Do it in Settled. Create a group for the trip and add each cost as an expense, choosing who paid and who shares it. For a dinner with different orders, use the by-item option. You can attach up to three photos of a receipt to any expense. A friend who has not signed up can be added by name and linked to an account later. The Balances tab shows exactly who pays whom, with the fewest payments.
